WHAT YOU WILL BE DOING:

As an Administrative Assistant, you will be supporting the business systems group for the company.

  • Back-up to front desk/receptionist role
  • Provide administrative support to the business systems group
  • Scan and retrieve customer purchase orders
  • Review customer purchase orders to ensure accuracy of inclusions/exclusions for billing
  • Pull purchase order and price inventory
  • Enter internal cost into current jobs
  • Assist business systems manager with verifying technician’s calls in order to transfer to payroll
  • Generate reports requested
  • Process service technicians’ weekly expenses
  • Provide overall corporate administrative support for various projects and requests that come in
  • Scan and retrieve customer purchase orders
  • Review customer purchase orders to ensure accuracy of inclusions/exclusions for billing
  • Pull purchase order and price inventory
  • Enter internal cost into current jobs
  • Assist business systems manager with verifying technician’s calls in order to transfer to payroll
  • Generate reports for as requested
  • Process service technicians’ weekly expenses (receipts for mileage, meals, hotel, etc.)
  • Back-up for employee travel requests
  • Order uniforms for service technicians (upon hire & ongoing) & shop/field employees
  • Data entry, typing, scanning, laminating, scheduling, filing; etc.
  • Create/modify documents, spreadsheets, posters, forms, etc.
  • Order lunches and set up for meeting upon request
  • *manage the weekly mail run
  • *manage the merchandise closet and orders
  • Create/maintain standard operating procedures

WHAT YOU NEED:

  • 2+ years administrative support experience in an office/business environment
  • Experience working in the HVAC industry or similar type trade industry is highly preferred
  • Someone who is very tech savvy or has a technical background is highly preferred
  • Experience in a role within a process-driven environment is ideal
  • Computer and tech savvy
  • Basic skillset in MSWD and basic/intermediate in Excel
  • Strong and accurate typing skills
  • Energetic, positive and easygoing attitude
  • Must have excellent telephone skills and customer service skills
  • Strong multitasking skills under pressure and in a fast-paced environment
  • High attention to detail and follow through
  • Excellent planning and organizational skills
  • Strong communication skills
  • Flexible, team player and strong work ethic
