Our client is a pharmaceutical company.


As a Proposal Administrator, you will support business development, proposal management and other initiatives of the company by providing support to the marketing and business development team and the CEO in areas of proposal writing/editing, project related documents and activities related to submission of proposals.

  • Identify potential prospects using existing processes and new approaches to relationship building to acquire new business while tracking relationships using the lead tracking software
  • Prepare slides, agendas and document discussions detailing clients’ needs to ensure efficient start to the proposal development process
  • Draft confidentially agreements and service master agreements as directed
  • Create and manage the proposal submission process and ensuring high quality and on-time submission to potential clients
  • Drive the meeting of proposal deadlines by establishing priorities and timelines for information gathering, writing, review and final approval, while keeping team members up to date on proposal status information and deadlines
  • Collaborate with team members to draft proposal content by assembling information to include client background, project scope, timelines, resource information and budget
  • Assemble proposal package for final internal review by conducting formatting and grammar review and electronically collating main document
  • Maintain proposal quality by using approved templates and following writing standards
  • Schedule and conducts post submission evaluations to improve proposal writing
  • Maintain records of files, work and revisions ensuring compliance
  • Conduct research and analysis upon request
  • Act as a liaison with identified team members in collecting all available data, specification and any pertinent information regarding each assignment
  • Assist with any other duties as assigned


  • 2-3 years of technical writing and business development experience
  • Bachelor’s degree required
  • Microsoft 365
  • Contract management software experience
  • CRM experience
  • Independent judgment to plan, prioritize and organize diversified workload in a fast-paced environment
  • Able to maintain client confidence and protect operations by keeping all information confidential and ensuring corporate integrity
  • Ability to work independently
  • Aptitude to develop and maintain strong working relationships with both internal and external stakeholders
  • Ability to work effectively under deadlines
  • Ability to juggle several assignments simultaneously
  • Display independent judgement
