Our client is a pharmaceutical company.

WHAT YOU WILL BE DOING:

As an Executive Assistant, you will provide senior level administrative support for certain day-to-day operations to include supporting Directors, Human Resources and assisting with proposal functions.

  • Provide support to Senior Executive Associate in maintaining CEO’S appointment schedule by planning, scheduling and organizing meetings/teleconferences, national and international travel, and attendance/participation at conferences
  • Perform desktop publishing, creating and developing visual presentations for the CEO to present
  • Welcome guests and clients by greeting them, in person or on the telephone
  • Produce information by transcribing, formatting, designing, editing, and transmitting text, data, and graphics- as well as proofreading documents and making appropriate changes
  • Serve as back-up liaison to the property management group
  • Maintain equipment inventories, evaluate new equipment and techniques
  • Assist with any other duties as assigned office supply inventory and ordering supplies when needed
  • Create and maintain a contract database to track contractual obligations to ensure prompt upfront payments, payment schedules and expiration dates and informing CEO, Accountant and/or Project Managers as needed
  • Coordinate and arrange logistic for board advisor meets and assist with creating agendas and meting materials
  • Assist CEO by reading, researching and routing correspondence, drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Act as a liaison for CEO with other employees, outside agencies and vendors
  • Manage the contracts function for the company by sending out draft consultant agreements and master confidential disclosure agreements
  • Prepare contract briefs and revisions summarizing contractual requirements/budgets
  • Maintain a file, both paper and electronic, for each contract which include original contract, all correspondence, changes/deviations, amendments, clarifications, payment schedules and any other pertinent documents to the contract
  • Down the road will take on other duties

WHAT YOU NEED:

  • Must live in or near Madison, WI
  • At least an Associate degree with 5 years of administrative experience is highly preferred
  • Would consider someone with 5+ years of executive level support experience if no degree
  • MSWD, Excel, PowerPoint and Outlook skills
  • Polished and professional
  • Ability to prioritize and organize diversified workload in a fast-paced environment
  • Ability to maintain client confidence and protect operations by keeping all information confidential and ensuring corporate integrity
  • Must be comfortable managing multiple deadlines and handling interruptions

Length: Temporary to Hire or Direct Hire

Pay for the Executive Assistant position: $50,000.00 – $60,000.00 / yr. – based on experience
