WHAT YOU WILL BE DOING:

As an Executive Assistant / Office Administrator, you will be sitting at the front desk and be the first point of contact for all customers.

  • Answer a multi-line phone which can be steady at times
  • Greet visitors, offer them water and make them comfortable and welcomed
  • Proactively manage managing partner/founders calendars
  • Prepare all materials needed for each meeting/call
  • Have webinars/calls ready prior to scheduled start
  • Keep managing partner/founder on schedule
  • Reschedule appointments/calls as needed
  • Arrange business/conference travel
  • Manage communications including e-mail, phone calls and social media
  • Prepare power point presentations
  • Prepare monthly reports
  • Event coordination and planning (internal and external events)
  • Prepare the conference room for meetings and set up technology needed
  • Provide general office administrative support to the office
  • Assist with various human resources, it and insurance renewal functions
  • Read and route incoming mail and process outgoing mail
  • Data entry into company database
  • Responsible for the cleanliness of the office and making sure the front entry way looks presentable at all times

WHAT YOU NEED:

  • 2-3+ years of executive administrative assistant experience is highly preferred
  • Would consider someone with 3+ years of very strong administrative assistant experience where you have done true support work
  • Would also consider someone who has years of teaching experience or is a retired teacher looking to continue working
  • Computer/tech savvy
  • Basic skillset in MSWD, Excel and Outlook
  • Personable, friendly and professional demeanor
  • Must have a “can do” attitude and take initiative
  • Excellent verbal/written communication skills
  • Ability to be assertive at times if needed
  • Strong organizational and prioritizing skills
  • Must have a good business sense and strong critical thinking skills
  • Extremely detailed and accurate
  • Must be good with working with numbers
  • Ability to handle confidential information
  • Career-driven and strong work ethic
