WHAT YOU WILL BE DOING:

As a Project Coordinator, you will be assisting Project Managers in managing information flow to/from customer/jobsite and making adjustments/corrections as needed.

  • Book projects
  • Handle cost code set-up, preplan documents and safety documents for field
  • Contract review for billings, submittals, safety, change orders and other information
  • Request Certificates of Insurance
  • Run and assist on reports (job costing, etc.)
  • Process job cost transfers
  • Process lien waivers
  • Apply/renew business licenses for projects
  • Customer correspondence
  • Research and save local vendor contact list
  • Send out underground test certificates with letters and follow-ups
  • Schedule all project meetings and take meeting minutes
  • Approve invoices and purchase orders/subcontracts submitted for payment
  • Research project data
  • Handle all W9 & certificate of insurance requirements, contract requests and contact information
  • Assist with mailings, data entry, licensing and other administrative tasks

WHAT YOU NEED:

  • 1+years of administrative experience with solid customer service and communication skills via e-mail and phone
  • Associate degree in Administrative Assistant or a related field preferred
  • Computer savvy
  • MSWD and Excel skills
  • Any experience with Smartsheet, Outlook, MS Teams and Zoom is a huge plus
  • Any experience with an ERP program (Penta) is preferred
  • Self-starter, friendly and personable
  • Strong critical thinking skills
  • Process driven
  • Ability to thrive in a fast-paced, deadline driven work environment
  • Must be organized and detailed
  • Good communication skills
  • Strong work ethic and team player
